Scenic Hotel Group Terms & Conditions
We welcome you to the Scenic Hotel Group booking website and hope you enjoy your experience but you must read and agree to these terms and conditions as they will apply to your use of our website and any bookings you make with us using our online booking application. Scenic Hotel Group will accept your reservation subject to the following terms and conditions.
Scenic Hotel Group reserves the right to change, modify, add or remove sections of this website and these terms and conditions at any time without notice or liability. If you are a regular user of our online booking application we recommend that you check this website and these terms and conditions on a regular basis, as it is not the responsibility of Scenic Hotel Group to inform you of any changes and any future reservations you make will be made subject to the terms and conditions which apply at the time a booking is made.
When opting to ‘"Pay now", 100% of the total reservation amount will be charged to your credit card at the time of making the reservation on the online booking website. The final amount shown to you for payment will be shown in New Zealand Dollars and will be charged to your credit card at this amount shown or converted to your local currency by your credit card company. Scenic Hotel Group is not responsible for currency conversion and therefore any questions regarding currency conversion must be directed to your credit card company.
When opting to ‘Pay later’, all reservations require a valid credit card guarantee at the time of booking. However, no payment will be deducted from your credit card before arrival.
Zero credit card fees* when you book and pay online or over the phone
As the largest 100% New Zealand owned and operated hotel chain in the country, we are dedicated to making your stay with us as pleasant as possible. So when you book and pay for your accommodation online at scenichotelgroup.co.nz or through our Central Reservations Team on 0800 NZ OWNED (0800 69 69 63) – no matter if you’re staying at one of our three-star Heartland Hotels or our four-star-plus Scenic Hotels – you won’t find any extra charges for booking with your credit card. The price we quote is the price you pay. However from 1st September 2013 should you choose to settle your account at the hotel a 1.5%* credit card surcharge will apply.

- From the 1st September 2013 a 1.5% credit card surcharge will apply to all payments made in the hotel (excluding Scenic Hotel Tonga)
- A 5% credit card surcharge will apply to all payments made in the hotel at Scenic Hotel Tonga
Note: Some Special Promotional Hotel Deals and Rates require full payment up front with no cancellations or changes accepted - these are clearly stated on the terms and conditions page for each deal they apply to.
A cancellation charge may be imposed if you cancel all or part of your reservation at the Scenic Hotel Group. Cancellations may be made by contacting our Central Reservations office by email firstname.lastname@example.org, or phone 0800 69 69 63 (within New Zealand) or +64 3 357 1919. For all Heartland and Scenic Hotels (excluding Scenic Hotel Tonga and Scenic Matavai Resort Niue) you must cancel your reservation no less than 1 working day (Monday - Friday 8am - 7pm New Zealand local time) prior to the day on which you are due to arrive to avoid a cancellation charge. For Scenic Hotel Tonga and Te Waonui Forest Retreat no less than 2 working days (Monday - Friday 8am - 7pm New Zealand local time) prior to the day on which you are due to arrive to avoid a cancellation charge. The cancellation charge is the full amount of the first night’s accommodation or package rate you have booked at any Scenic Hotel Group hotel for each room booked.However for Scenic Matavai Resort Niue if cancelled or modified up to 21 days before date of arrival, no fee will be charged, if cancelled or modified up to 14 days before date of arrival, 100 percent of the first night will be charged, if cancelled or modified up to 7 days before date of arrival, 100 percent of the first two nights will be charged and if cancelled or modified later or in case of no-show, the total price of the reservation will be charged. You must contact Scenic Hotel Group to arrange a refund of the remainder of your prepayment should there be any other amount owing to you. It is not the responsibility of Scenic Hotel Group to contact you regarding any possible refunds. Scenic Hotel Group does not warrant or guarantee that all or any deposits or prepayments for goods or services that you may have ordered from any third party providers will be refunded, and will in no way be obligated to make up any shortfall. You must contact any third party providers and make your own arrangements with them.
If your requested room is unavailable, you are given the option to 'Waitlist' the room. Waitlisted reservations are not guaranteed and are not charged. If the room(s) you have waitlisted become available before the check-in date, you may be contacted to see if you would like to complete your reservation. In this case, more guests may be contacted than there are rooms available and so reservations will be accepted on a 'first come, first served' basis.
All reservations require a valid credit card guarantee at the time of booking. The guarantee ensures that your reservation will be held from 2pm on the day of arrival until 10am the following morning.
‘Pay now’ payment option - If you have not arrived at the Hotel by 10am the following day then the total of your complete prepayment is non-refundable. No refund for any unused accommodation will be given.
‘Pay-later’ payment option - If you have not arrived at the Hotel by 10am the following day, a cancellation fee equivalent to the first nights’ accommodation for each room booked will be charged to your credit card.
Scenic Hotel Group retains the right to cancel or relocate any bookings without notice.
Promotional Rate bookings have the following additional conditions. These conditions supersede any contradictory conditions in this document.
- NO refund is available in the event of the cancellation of the reservation
- Once confirmed, the reservation is NOT able to be changed
- Scenic Hotel Group does not guarantee that rooms will be available on any date at any hotel. Close-out dates may apply
New Zealand Goods and Services Tax (GST) is included in all amounts shown and charged to your credit card. Scenic Hotel Group is required by New Zealand law to charge GST on all goods sold or used within New Zealand. Up to and including 30-Sep-2010 the GST rate was 12.5%, after this date the rate has changed to 15%.
By using this website and paying for your reservation by credit card you represent and warrant that you are a minimum 18 years of age to use to use this site and create legal binding obligations for any liability incurred. You agree that you will be personally and financially responsible for the use of this website and for anyone you have supplied your login information to or who otherwise has access to or uses your login information.
Scenic Hotel Group has established limits on the number of rooms that are able to be booked over the Internet on a single date at any one hotel which accepts reservations via this website. This limit will be 3 rooms per hotel per booking date, except in certain circumstances, which must be approved in writing by the Managing Director of Scenic Hotel Group.
Should you wish to reserve more than 3 rooms at any one Scenic Hotel Group on any one date then you should contact our Central Reservations Office or the hotel directly on our contact numbers supplied.
All rooms are sold on a twin share basis. There will be extra charges applicable if the number of adults in the room exceeds two. Children stay for free provided they are under 12 years of age and are using existing bedding in the room. Unless otherwise stated charges are for accommodation only and all other charges (such as for food and beverages and other hotel services) will be paid at the completion of your stay at a Scenic Hotel Group hotel.
Check In Policy
Check in at all Scenic Hotel Group hotels is from 2pm New Zealand time on the day of arrival. You may attempt to check in prior to 2pm, but we do not guarantee that your room will be available for your use prior to this time.
You will be required to provide either a credit card imprint at the time of check in as security for any extra charges you may incur while at the hotel. If you do not have a credit card available at check in then you will be required to provide a cash deposit of $300 New Zealand dollars. There are no exceptions to this policy.
The person registering at Check In must be a minimum 18 years of age and at least one adult of 18 years or older staying in booked accommodation room(s).
Check Out Policy
Check out at all Scenic Hotel Group hotels is 10am New Zealand time on the day of departure. Requests may be made at the time of check in for an extension to this time and will be considered on a case-by-case basis. The hotels decision on any extension of check out time is final. Extra charges may apply for any extension to check out time at the discretion of the individual hotel.
Any unused cash deposit will be refunded to the user at check out. You may request your credit card imprint back from the hotel at the time of check out, otherwise it will be disposed of in a secure manner by the hotel at the time of check out.
By using this website you consent to be added to the Scenic Hotel Group business records, and will from time to time receive emails, newsletters and offers of Specials and Packages available at Scenic Hotel Group. You may request your name be removed from these records by contacting our Central Reservations Office directly on our contact numbers supplied or by applying in writing to our postal address. This will stop Sales and Marketing information being sent to you. Scenic Hotel Group will not sell or distribute any of these records to any third party, other than when you order goods or services from a third party provider.

Errors and Omissions
Any reservation made on the Scenic Hotel Group online booking website is made at your own risk. As you are entering information directly into the Hotel reservations system, all information entered by you will be assumed to be correct and final. Any errors or omissions will be the responsibility of the person entering any information into our online system. Scenic Hotel Group will not be held responsible nor will Scenic Hotel Group accept any financial liability for any errors or omissions in the information provided.
Disclaimers, Liability Policy and Damage
The use of this website is at your own risk. Scenic Hotel Group does not warrant that the website will operate error-free or that this web site and its server are free of computer viruses or other harmful material. If you use this website and your equipment is in need of servicing or replacement or if you loose data or experience any problems, Scenic Hotel Group will accept no responsibility or liability for any damage, losses and costs you may suffer or incur in any circumstances.
In no event or circumstances shall Scenic Hotel Group be liable for any direct, indirect, punitive, incidental, special, or consequential damages arising out of, or in any way connected with the use of this website or with the delay or inability to use this website, or for any information, software products, and services obtained through this website, or otherwise arising out of the use of this website, whether based on contract, tort, strict liability or otherwise, even though Scenic Hotel Group, its affiliates and or any of their suppliers have been advised of the possibility of damages.

Definitions and Interpretation
"Scenic Hotel Group" means Scenic Circle Hotels Limited and its subsidiary companies.
"terms and conditions" means the terms and conditions which appear on the website of Scenic Hotel Group at the time you make a reservation or booking using our website.
"third party providers" and "providers" means any person or entity, other than Scenic Hotel Group, which offers goods or services on this website of Scenic Hotel Group.
