We welcome you to the Scenic Hotel Group booking website and hope you enjoy your experience but you must read and agree to these terms and conditions as they will apply to your use of our website and any bookings you make with us using our online booking application. Scenic Hotel Group will accept your reservation subject to the following terms and conditions.

Scenic Hotel Group reserves the right to change, modify, add or remove sections of this website and these terms and conditions at any time without notice or liability. If you are a regular user of our online booking application we recommend that you check this website and these terms and conditions on a regular basis, as it is not the responsibility of Scenic Hotel Group to inform you of any changes and any future reservations you make will be made subject to the terms and conditions which apply at the time a booking is made.

Payment Policy

All rate plans with a flexible cancellation policy do not require payment upfront* (unless otherwise stated in the rate plan conditions). 100% of the total reservation amount will be charged by the hotel at check-in or on check-out depending on the hotel’s individual policy. Applicable hotel payment terms will be detailed at the time of booking and in the booking confirmation email.

For all rate plans that are non-refundable (e.g. Advance Purchase, special sale or promotional rates) 100% of the total reservation amount will be charged within 24-hours from the booking being made.

A 1.5% credit card processing fee applies for all payments made by credit card at the hotel. Guests can avoid this fee by paying in advance through our Central Reservations team (0800 69 69 63) or by paying with Debit Card or Cash at the hotel (where this is an accepted payment method^).

^Note when paying by any other payment method than Credit Card, the hotel will require either a virtual copy of a credit card or a as security (cash deposit may be acceptable at selected hotels, please refer to the hotel’s individual policy when booking).

All reservations require a credit card guarantee at the time of booking. The final amount shown to you for payment will be shown in New Zealand Dollars. This will be amount charged to your credit card or converted to your local currency by your credit card company when payment is due. Scenic Hotel Group is not responsible for currency conversion and therefore any questions regarding currency conversion must be directed to your credit card company.

In the event where the customer’s overdue account is referred to a collection agency and/or law firm, the customer will be liable for all costs which would be incurred as if the debt is collected in full, including commission on collection of the additional costs and also including legal demand costs.

*Scenic Matavai Resort Niue has a different payment policy – payment will be taken when the booking becomes non-refundable which is 14 days prior to arrival.

Cancellation, Booking Modifications and No Show Policy

Note: Some Special Promotional Hotel Deals and Rates require full payment up front with no cancellations or changes accepted – these are clearly stated on the terms and conditions page for each deal they apply to.

A cancellation charge may be imposed if you cancel or modify all or part of your reservation at the Scenic Hotel Group or if you fail to check-in (No show). Cancellations may be made by contacting our Central Reservations office by email [email protected], or phone 0800 69 69 63 (within New Zealand) or +64 3 357 1919. Cancellation policies vary depending on property and rate plan booked.

For Heartland Hotels, Scenic Hotels & Suites, and Airedale Boutique Suites (excluding Scenic Matavai Resort Niue and Te Waonui Forest Retreat) you must cancel your reservation no less than 24 hours prior to 2pm on the day on which you are due to arrive to avoid a cancellation charge*. The cancellation charge is the full amount of the first night’s accommodation or package rate you have booked at any Scenic Hotel Group hotel for each room booked.

  • Te Waonui Forest Retreat – Standard Cancellation Policy (including modifications and no shows)*:
    • Bookings outside 48 hours – Free cancellation
    • Bookings within 48 hours of arrival – 100% charge of all rooms booked
  • Scenic Matavai Resort Niue – Standard Cancellation Policy (including modifications and no shows)*:
    • Bookings outside 15 days – Free Cancellation
    • Between 8 and 14 days – 50% charge of all rooms booked
    • Between 7 days to arrival – 100% charge of all rooms booked

For all travel to Niue and/or where you have booked a non-refundable rate, we recommend you obtain travel insurance in the event of illness or other unforeseen circumstances in order to claim any loss on booked rooms.

*A different cancellation policy may apply to Special Promotional Rates, Packages and Sales – please refer to the specific terms and conditions of the offer, as well as for reservations deemed to fall under our Group Booking Policy. Refer to the Reservation Limits section for information on this.

Waitlist Policy

If your requested room is unavailable, you are given the option to ‘Waitlist’ the room. Waitlisted reservations are not guaranteed and are not charged. If the room(s) you have waitlisted become available before the check-in date, you may be contacted to see if you would like to complete your reservation. In this case, more guests may be contacted than there are rooms available and so reservations will be accepted on a ‘first come, first served’ basis.

Guarantee Policy

All reservations require a valid credit card guarantee at the time of booking. A pre-authorisation check (with a $1 charge) will be performed at the time of booking to verify that the supplied credit card is valid. The pre-authorisation charge will be reversed shortly afterwards but may take up to 5 business days to clear. The guarantee ensures that your reservation will be held from 2pm on the day of arrival until 10am the following morning.

Relocations

Scenic Hotel Group retains the right to cancel or relocate any bookings without notice.

Tax Information

New Zealand Goods and Services Tax (GST) is included in all amounts shown and charged to your credit card. Scenic Hotel Group is required by New Zealand law to charge GST on all goods sold or used within New Zealand. The GST rate is 15%. This excludes bookings and any purchased made at Scenic Matavai Resort Niue where the Niue Consumption Tax (NCT) with a rate of 12.5% applies.

Reservation Limits

By using this website and paying for your reservation by credit card you represent and warrant that you are a minimum 18 years of age to use this site and create legal binding obligations for any liability incurred. You agree that you will be personally and financially responsible for the use of this website and for anyone you have supplied your login information to or who otherwise has access to or uses your login information.

Group or Third Party Booking Policy:

Scenic Hotel Group has established limits on the number of rooms that are able to be booked over the Internet on a single date at any one hotel which accepts reservations via this website. This limit is 4 rooms per hotel per booking date. Bookings of 5 or more rooms, or bookings made by Travel Agents, Wholesale Travel Agents and other third parties will automatically have a group payment and cancellation policy apply:

  • Properties located in New Zealand: Full payment will be taken 30-days prior to arrival. 30-day cancellation policy applies*.
  • Scenic Matavai Resort Niue: Full payment will be taken 60-days prior to arrival. 60-day cancellation policy applies*

*Except on Pay upfront/non-refundable rate plans where full payment will be taken at the time of booking.

Our Central Reservations team will contact the guest via phone or email to advise of the reservation change to group policy.

Additional Guests and Children Policy:

All rooms are sold on a twin share basis unless otherwise stated. There will be extra charges applicable if the number of adults in the room exceeds two. Up to two children stay for free provided they are 12 years of age or under, and are using existing bedding in the room. Cots are available free of charge for children under two years of age – please contact the hotel to confirm availability. Unless otherwise stated charges are for accommodation only and all other charges (such as for food and beverages and other hotel services) will be paid at the completion of your stay at a Scenic Hotel Group hotel.

Suspicious and Fraudulent Reservations

Scenic Hotel Group Ltd uses digital technology to screen all online reservations to identify those that may be fraudulent, and/or not made in good faith. A pre-authorisation on the supplied credit card will be made and the guest will be contacted by our Central Reservations team to complete additional verification steps. If these measures are not completed to a satisfactory level the reservation(s) will be cancelled immediately and the guests will be notified by email.

Check In Policy:

Check in at Scenic Hotel Group hotels is from 2pm New Zealand time on the day of arrival except at:

  • Te Waonui Forest Retreat which is at 3pm. You may request to check in prior to the hotels’ specified check-in time, but we do not guarantee that your room will be available for your use prior to this time.

You will be required to provide either a credit card imprint at the time of check in as security for any extra charges you may incur while at the hotel. If you do not have a credit card available at check in then you will be required to provide a cash deposit of $300 New Zealand dollars^.

The person registering at Check In must be a minimum 18 years of age and at least one adult of 18 years or older staying in booked accommodation room(s).

^Scenic Hotel Te Pania (Napier) additional check-in requirements: A valid (government authorised) photo ID is required upon check-in and the property will take a copy of your photo ID. You must provide a valid credit card (in the same name as the guest’s name on the booking confirmation) as a security guarantee on check-in. Any guests without a credit card must contact the hotel prior to arrival to make alternative security guarantee arrangements.

Check Out Policy:

Check out at Scenic Hotel Group hotels is 10am New Zealand time on the day of departure except at:

  • Te Waonui Forest Retreat which is at 11am. Requests may be made at the time of check in for an extension to this time and will be considered on a case-by-case basis. The hotels decision on any extension of check out time is final. Extra charges may apply for any extension to check out time at the discretion of the individual hotel.
  • Scenic Matavai Resort Niue which is at 9am local time on the day of departure. Guests will be taken to the airport to check-in baggage from 8.30am. Guests are welcome to return to the resort to await departure but will be unable to access rooms (which must be vacated from 9am). Resort check-out time may alter depending on Air New Zealand’s flight schedule. The resort will advise impacted guests of any changes during their stay.

Any unused cash deposit will be refunded to the user at check out. You may request your credit card imprint back from the hotel at the time of check out, otherwise it will be disposed of in a secure manner by the hotel at the time of check out.

User Information

By using this website to make a reservation you consent to receive emails about your booking. This will include a Booking Confirmation email, pre-arrival emails and a post-stay email. Scenic Hotel Group will not send you any promotional or marketing related information without your express consent (which can be obtained at the time of booking by selecting the ‘subscribe to marketing material’, or at check-in directly with the hotel). Scenic Hotel Group will not sell or distribute any of these records to any third party, other than when you order goods or services from a third party provider.

The terms, conditions and requirements in the following policies which are to be found on the Scenic Hotel Group website shall form part of these terms and conditions as if they had been set out here in full. Those policies are:

Errors and Omissions

Any reservation made on the Scenic Hotel Group online booking website is made at your own risk. As you are entering information directly into the Hotel reservations system, all information entered by you will be assumed to be correct and final. Any errors or omissions will be the responsibility of the person entering any information into our online system. Scenic Hotel Group will not be held responsible nor will Scenic Hotel Group accept any financial liability for any errors or omissions in the information provided.

Disclaimers, Liability Policy and Damage

The use of this website is at your own risk. Scenic Hotel Group does not warrant that the website will operate error-free or that this website and its server are free of computer viruses or other harmful material. If you use this website and your equipment is in need of servicing or replacement or if you loose data or experience any problems, Scenic Hotel Group will accept no responsibility or liability for any damage, losses and costs you may suffer or incur in any circumstances.

In no event or circumstances shall Scenic Hotel Group be liable for any direct, indirect, punitive, incidental, special, or consequential damages arising out of, or in any way connected with the use of this website or with the delay or inability to use this website, or for any information, software products, and services obtained through this website, or otherwise arising out of the use of this website, whether based on contract, tort, strict liability or otherwise, even though Scenic Hotel Group, its affiliates and or any of their suppliers have been advised of the possibility of damages.

Scenic Hotel Group, to the fullest extent permitted by law, makes no representations or warranties, either express or implied, in relation to:

  • the use of any information, software or software products or goods and/or services contained or referred to in this website
  • any goods and/or services offered or provided by any third party provider
  • the type, quality or standard of any goods and/or services offered or provided by Scenic Hotel Group or by any third party provider or whether they are or could be fit or used for any purpose (even if that purpose has been made known)
  • Scenic Hotel Group, to the fullest extent permitted by law, expressly disclaims and excludes any and all liability to anyone using this website, making any reservation on this website or ordering any goods and/or services using this website. Without limiting the foregoing in any way, this exclusion of liability extends to any economic and consequential losses, any damages and costs, all claims involving personal injury and/or death and all loss, damage or destruction of property

Jurisdiction

This Scenic Hotel Group website and various component parts, including these Booking Terms and Conditions are governed exclusively by the laws of New Zealand and you agree to submit to the exclusive jurisdiction of the Courts of New Zealand.

Definitions and Interpretation

The terms used in these Terms and Conditions and in the Scenic Hotel Group’s Web Policy and the Scenic Hotel Group’s Privacy Policy have the following meanings:

“Scenic Hotel Group” means Scenic Circle Hotels Limited and its subsidiary companies.

“terms and conditions” means the terms and conditions which appear on the website of Scenic Hotel Group at the time you make a reservation or booking using our website.

“third party providers” and “providers” means any person or entity, other than Scenic Hotel Group, which offers goods or services on this website of Scenic Hotel Group.

“we” and “our” and “us” means Scenic Hotel Group.

“website” means this website of Scenic Hotel Group, unless the reference is to the website or a linked website of a third party provider.

“you” and “your” means you, the person or entity who uses this website of Scenic Hotel Group.

In these terms and conditions:

  • words importing a singular number only include a plural number and vice versa;
  • words importing a gender include the other gender.
